Assemble an annual lender package with consistent periods and versions

Editable reporting index records each required file, reporting basis, reconciliation checks, certification and delivery status, with a completed hypothetical package.

Illustrative examples. This is a constructed educational scenario, not a reported Jaken Finance Group transaction or financing offer.
The decision in brief

Build the package from the loan’s actual requirements and reconcile its files to one another before delivery. A complete index can still conceal inconsistent reporting periods, definitions or versions.

An annual package should be a consistent set of evidence. Begin with the executed loan’s reporting requirements, identify the applicable period and entity, and reconcile the files before the required person certifies or delivers them.

The OCC handbook discusses ongoing information collection and analysis. A historical SEC agreement illustrates separate reporting obligations in section 4.9. Neither source makes the sample checklist below mandatory for every borrower; actual contracts and amendments control.

Build the index before collecting files

List the required report, period, accounting basis, property or entity scope, certification and deadline. A property statement, borrowing-entity statement and guarantor statement answer different questions. Do not substitute one for another merely because the names are related.

Identify the required level of preparation or assurance from the documents. Internally prepared, reviewed and audited statements are distinct deliverables. A polished spreadsheet does not become an audit because it is included in a lender package.

Field instructions and common errors

Field Check Avoid
reporting_period Exact start/end or as-of date Combining a November rent roll with December totals silently
basis_and_scope Cash/accrual, property/entity and definition Treating investor NOI as the covenant numerator automatically
version Stable identifier of the delivered file Updating a file while leaving its old certification attached
cross_check Reconciliation that another reviewer can reproduce A generic “checked” status without the comparison
certification_owner Actual required signatory or preparer Assuming the property manager can certify guarantor finances
delivery_status Actual stage and remaining action Calling “ready for review” delivered

Assume OPS-v2 showed $630,000 NOI because a $30,000 recurring operating cost had been omitted. OPS-v3 corrects NOI to $600,000. A covenant workbook still linked to v2 would overstate its starting cash flow even if its formulas are otherwise correct.

Under a separately assumed $24,000 reserve deduction, the corrected test numerator is $576,000. The index records that COV-v2 uses OPS-v3. It does not assert a contractual pass, because the denominator, threshold and other requirements must also be established.

The capital schedule explains the correction’s classification and ensures the same item is not both deducted in operations and again treated as a new capital use without reason. Its role is reconciliation, not an independent accounting determination.

Reconcile before signing

Compare operating revenue with the rent-roll and receivables support, cash with the bank reconciliation, debt with lender statements and capital spending with the relevant budget or reserve records. Explain material differences in period and basis rather than forcing totals to match.

Use a separate exception list for missing or disputed information. If a required report cannot be completed on time, raise the issue through the actual contractual process. Do not alter dates or certify an unsupported statement to make the package appear timely.

Deliver and preserve the package

Record the final files, signatures, delivery method and receipt evidence. Protect sensitive borrower and guarantor information through the authorized channel. The public template contains only fictional identifiers and does not collect user documents.

If a correction is needed later, retain the original submission and send a versioned replacement with a clear explanation of the change and affected calculations. The final package should let the lender and future asset manager reconstruct the reporting position at that date.
