Build a loan-obligation calendar from the documents that actually apply

Editable covenant calendar records testing periods, delivery deadlines, event-driven consents, internal preparation dates and evidence of completion.

Illustrative examples. This is a constructed educational scenario, not a reported Jaken Finance Group transaction or financing offer.
The decision in brief

Separate the date a financial test measures from the date a report is due, and track event-driven obligations outside the recurring calendar. Use the actual contract’s definitions and notice rules.

A covenant calendar should begin with the executed loan documents and amendments. It should tell the operating team what to measure, what to deliver, when action is required and what evidence establishes completion. Copying a generic annual checklist cannot do that.

The OCC handbook discusses covenants and recurring information collection. This original calendar organizes those obligations after their actual terms are established. It does not determine legal notice, cure or default consequences.

Separate the four dates

A financial test may measure a quarter ending December 31, while the certificate is delivered later. The internal preparation deadline should leave time to reconcile records and obtain the required signature. The actual delivery date is a fourth fact that should be retained with evidence.

Do not replace a contractual date with the team’s preferred target. If a deadline changes by a valid agreement, record that evidence and preserve the original obligation. A requested extension is not automatically effective.

Field instructions

Field Record Common error
contract_ref Document, section and applicable amendment A remembered requirement from a prior loan
measurement_or_trigger Financial period or triggering event Treating every obligation as annual
contract_due_date Date determined under actual rules Ignoring business-day or notice provisions
internal_ready_date Earlier preparation target Presenting it as the legal deadline
owner Person responsible for coordinating completion Assuming the property manager handles every guarantor report
delivery_and_completion_evidence Required signature, channel and proof A finished file that was never delivered

Completed hypothetical calendar

obligation_id,requirement,contract_ref,measurement_or_trigger,contract_due_date,internal_ready_date,owner,delivery_and_completion_evidence,status
O001,Annual financial package,Hypothetical agreement section R1,Fiscal year ending 2026-12-31; assumed due 60 calendar days later,2027-03-01,2027-02-15,Controller,Required certification and accepted delivery method to be confirmed, scheduled
O002,Quarterly coverage certificate,Hypothetical agreement section C2,Quarter ending 2026-12-31; separate calculation definition,2027-02-14,2027-02-01,Asset manager,Signed calculation and delivery receipt,scheduled
O003,Consent before material lease amendment,Hypothetical agreement section L3,Proposed amendment; no recurring due date,,,Leasing lead and counsel,Obtain applicable consent before action if required,event_pending

For O001, the invented agreement uses sixty calendar days after December 31, 2026. January has 31 days and February 2027 has 28, making March 1 the sixtieth day under the example’s simple counting assumption. The internal February 15 target leaves preparation time. Actual contract interpretation can change the applicable rule.

O002 has its own measurement and delivery convention. Do not use O001’s deadline simply because both items use year-end information. O003 is triggered by a proposed lease amendment; a blank recurring date means it needs event monitoring, not that no obligation exists.

Attach the actual covenant numerator, denominator, period and permitted adjustments. Use a distinct model version from ordinary investor reporting if the definitions differ. Record who reviewed the calculation and keep unresolved questions visible.

A ratio result does not itself establish every contractual consequence. A trigger may affect cash control, extension eligibility or another mechanism. Obtain the appropriate interpretation and action from the actual documents rather than assigning an automatic outcome.

Build the handoff after closing

Give the asset manager, controller, leasing team and relevant sponsor representatives the obligations they own. Include reserves, insurance, taxes, inspections, major leases, transfers and other applicable events. Limit each person’s access to the information needed for the role.

Review the calendar when the loan is amended, servicing changes or the business plan changes. A new lease program or construction scope may create events that the original recurring calendar did not anticipate.

Record completion without losing exceptions

Preserve the submitted package and delivery evidence. If a reviewer asks for a correction, track the outstanding issue and send a versioned response. “Delivered” and “accepted” are different facts.

The calendar is useful when it connects the legal obligation to an operational owner and a verifiable record. Its purpose is to prevent missed or misunderstood duties, not to certify compliance from a checkbox alone.
